Are you an experienced dental leader who gets energized by the opportunity to build something from the ground up? Do you enjoy creating strong teams, establishing systems, and shaping the culture of a practice—not simply stepping into what already exists? If so, this is a unique opportunity to take a leadership role in launching a brand-new oral surgery practice in Winter Garden, FL.
The Opportunity. We are launching a new oral surgery practice dedicated to exceeding our patients’ expectations through compassionate care and exceptional service. We are seeking an experienced Office Manager who is excited to be part of the founding leadership team and help build the practice from the ground up.
You’ll partner closely with the surgeon to establish the systems, workflows, team culture, and operational standards that will become the foundation of the practice. From preparing the team for opening day to developing employees, strengthening processes, and helping guide future growth, you’ll have a meaningful voice in how the practice operates and evolves.
This role begins as soon as possible as we prepare for our official opening in mid-late October.
Work Schedule. This is a full-time position with typical hours of Monday–Friday, 7:30 AM–4:30 PM.
Who This Role Is Perfect For & Why You’ll Love Working Here. This role is ideal for an experienced leader who enjoys developing people, creating structure, and helping a team perform at its best. You’re organized, approachable, confident, and calm under pressure, with the ability to balance the needs of the team, surgeon, and practice.
You communicate clearly, address issues directly and professionally, and are comfortable setting expectations, providing feedback, and holding others accountable. You take ownership, look for solutions, and enjoy building and improving systems rather than simply maintaining them. You can manage the day-to-day details while keeping sight of the bigger picture and are quick to recognize when something needs attention and take initiative to move it forward.
Benefits. We offer a competitive benefit package to our full-time team members, which includes:
- Paid time off for vacation, sick, and company-recognized holidays
- Regular team-building events/outings
- Birthday/work anniversary celebrations
Key Responsibilities. As our Office Manager, you’ll be a key leader in launching and growing the practice—helping establish strong systems, develop the team, oversee daily operations, and partner closely with the surgeon to create an efficient, patient-centered, and positive environment. Your responsibilities will include:
- Lead and develop the practice team – Provide leadership for the clinical and administrative teams, establish clear expectations, promote accountability, and help build a positive, collaborative culture from the ground up.
- Manage staff performance and employee relations – Serve as the primary liaison between the surgeon and team, address employee concerns and conflicts, provide coaching and feedback, and manage performance evaluations and disciplinary discussions when necessary.
- Oversee staffing, scheduling, and recruitment – Develop staff schedules, manage time-off requests and call-outs, identify staffing needs, and lead recruiting, interviewing, hiring, and onboarding as the practice grows.
- Build training systems and operational consistency – Develop and maintain structured training programs, standard operating procedures, and team workflows; oversee employee training; conduct staff meetings; and ensure employees have the knowledge and resources needed to perform their roles successfully.
- Establish and manage practice operations – Help build and refine administrative and clinical workflows, troubleshoot operational challenges, maintain an organized and professional practice environment, and support the team as needed to ensure efficient, high-quality patient care.
- Maintain compliance and practice standards – Establish and maintain systems to support compliance with OSHA, HIPAA, cybersecurity, employment, and other applicable regulatory requirements, and coordinate required staff and emergency-protocol training.
- Partner with the surgeon on practice growth and business operations – Work closely with the surgeon to establish the operational foundation of the practice and support strategic initiatives, process improvements, team development, marketing and referral growth. As the practice expands, this role will take on increasing responsibility for practice operations, financial performance, and the broader business side of the organization.
